Robotic Process Automation (RPA)
Less manual work. More insight. Stronger ESG performance.
What is RPA?
RPA uses software robots (“bots”) to execute repetitive, rule-based tasks that humans normally perform – data entry, validations, reconciliations, report generation, and system interactions. Bots mimic clicks, keystrokes, and API calls across your existing applications, delivering speed, accuracy, and 24/7 operation without changing core IT systems.
How RPA works
Bots collect and process data from websites, databases, emails, APIs and files, structuring it and applying basic pattern checks. They read PDFs, Word and Excel documents, extract the required fields, validate forms and compare entries against internal and external registers.
The automation can log into CRM, ERP, banking and accounting systems to fill forms, search, and update records, and it connects processes across departments and partners – often five to ten times faster to implement than traditional integrations.
Throughout, data is validated and audited by cross-checking rules and multiple sources, flagging duplicates or anomalies, and maintaining a complete audit trail. Finally, the system generates daily or weekly reports (e.g., Excel/CSV) and monitors thresholds, triggering alerts the moment exceptions occur.
Problems we solve with RPA
RPA (Robotic Process Automation) streamlines time-consuming manual work across finance, sales, and compliance functions.
In Finance and Administration, robots handle repetitive tasks such as purchase order-to-invoice matching, invoice posting, payroll reconciliation (including DK e-Indkomst), tax card downloads from payroll systems like Lessor, time registration collection and validation, vacation day checks, NemRefusion submissions, dunning and collections, credit checks, and tax data gathering.
Within Sales Operations, automation ensures accurate price and discount validation, maintains CRM data quality, enriches leads from external sources, and provides real-time pipeline reporting.
For Governance and Compliance, RPA automatically prepares evidence packs, performs reconciliations, manages segregation of duties checks, and ensures log retention – providing full traceability and audit-readiness while freeing teams from manual, error-prone routines.
Why It Matters - Real Impact, Not Just Reporting
Implementing RPA with SmartBoard delivers measurable value fast -most organizations achieve ROI within just three to six months as software bots take over high-volume, repetitive tasks.
Costs drop and accuracy improves, as bots don’t mistype, forget, or take breaks. Business teams retain ownership of their processes, enabling rapid change without the need for large IT projects. The solution is fully scalable and non-intrusive, allowing companies to start small and expand step by step with minimal impact on existing systems.
Compliance improves through consistent rule application and a complete end-to-end audit trail, while real-time flow monitoring in SmartBoard provides instant visibility into KPIs, exceptions, and process performance.
- Rapid ROI often 3–6 months as bots take over high-volume tasks.
 - Lower cost & fewer errors bots don’t mistype, don’t forget, and work 24/7.
 - Scalable & non-intrusive—start small, expand step-by-step; minimal impact on existing systems.
